Trust & AI

You are handing us your company's paperwork. Here is exactly what happens to it.

No hedging, no marketing language. If any of this changes, this page changes with it.

The rule everything else follows

The machine proposes facts. Rules and people decide.

A language model is very good at reading a scanned receipt and telling you the number printed on it. It is not a source of authority on what your company owes. So PortalHQ uses it for reading, matching and drafting — and never lets it decide an obligation, mark a document as executed, or send anything to an authority.

Your identity documents

The restricted zone is off to the machine by default.

Documents holding identity data — SSN, passports, bank details — go into a restricted zone. Nothing in that zone is sent to an AI provider unless you turn it on for that entity yourself, and turning it on is recorded in the entity's activity trail.

When you share records with a bank, an auditor or an advisor, you send a scoped bundle rather than a folder. Identity documents are redacted or excluded unless you deliberately include them.

Your records

Signed in, approved, and yours.

  • No document is readable by anyone who is not signed in and approved. There is no public view of anything.
  • A professional sees only the entities you have given them a mandate over, and only the scope that mandate carries.
  • Every document is hashed on the way in, so a later copy can be checked against the original.
  • Every access, share and status change is written to an activity trail that cannot be edited or deleted.
  • You can export everything you have put in, whenever you want, without asking us.

Honest dating

We will not help you backdate anything.

PortalHQ flags a document whose file metadata contradicts the date printed on its face, refuses to accept a pasted signature image as execution, and will not mark a document executed without an execution artefact.

When something was genuinely missed, the honest fix is a ratification recorded on the date it actually happened — not a paper dated to a meeting that never took place. PortalHQ models the first and refuses the second.

What we are not

  • Not a filing agent. PortalHQ does not submit anything to any authority on your behalf.
  • Not your professional. The rule set is maintained by practitioners, but a rule set is not advice about your situation.
  • Not a guarantee. An audit-readiness score describes the evidence you hold, not the opinion of any regulator.
  • Not a place to store what you do not need. Documents you delete are deleted, and the trail records that you deleted them.

Plain answers

Questions people ask before they start

Does AI make decisions in PortalHQ?
No. The machine proposes facts; rules and people decide. No model output becomes an obligation, a status change or a submission on its own, and every assisted output carries its source and confidence.
Are identity documents sent to an AI provider?
Not by default. Documents holding identity data (SSN) live in a restricted zone that is AI-off unless the entity explicitly opts in, and that opt-in is written to the activity trail.
Can a filing be marked complete without its acknowledgement?
No. An obligation is not closed without its acknowledgement attached as evidence; readiness distinguishes satisfied from proven for exactly that reason.
What if this page changes?
If what we do with your records changes, this page changes with it. It is written without hedging so it can be held against us.
